L21: Form and note completion, step by step

Target band 6.5 to 7

Form and note completion is the most common question type in IELTS Listening. You'll almost always see it in Part 1, and very often in Part 4. If you have a clear method for this one type, you'll pick up marks in every single test. Here's the full method, before, during and after the audio.

Why this matters

These questions look easy, so students don't think they need a method. Then they lose marks to small things: a missing s, a wrong letter, an extra word. A method turns these questions into almost guaranteed marks.

Before the audio: 4 steps

  1. Read the title. It tells you the situation. Hotel booking form or Notes on urban bees.
  2. Circle the word limit. ONE WORD? TWO WORDS? A NUMBER?
  3. Predict each gap. Word type, singular or plural, and what kind of thing (Lesson L18).
  4. Find your anchors. Underline the words just before each gap, like Address:, Cost: or Main reason:. You'll listen for these.

During the audio: 3 rules

  1. Follow the order. The answers come in the same order as the gaps.
  2. Use the two-question window. Eyes on this gap and the next one (Lesson L16).
  3. Wait for corrections. Give it a few seconds after you hear an answer. The speaker might change it (Lesson L15).

After the audio: the 4-point check

  1. Spelling. Is every word spelled correctly?
  2. Endings. Did you need an s? An -ed?
  3. Word limit. Did you stay inside it?
  4. Grammar. Read the full line with your answer in it. Does it make sense?

A worked example

Sports Centre Membership Form

Write ONE WORD AND/OR A NUMBER for each answer.

  • Name: Karim (1) __________
  • Type of membership: (2) __________
  • Main activity: (3) __________
  • Day to start: (4) __________

Staff: And your surname?

Karim: It's Chowdhury. C-H-O-W-D-H-U-R-Y.

Staff: Thanks. Are you after a full or an off-peak membership?

Karim: I was going to go full, but I'm only free in the mornings, so off-peak makes more sense.

Staff: Good choice. And what do you mainly want to do here? Gym? Pool?

Karim: Mostly swimming, to be honest.

Staff: Great. When would you like to start?

Karim: This Friday, if possible.

Show the answers

1) Chowdhury. 2) off-peak. 3) swimming. 4) Friday.

What made this tricky? In 2, "full" was a distractor. In 3, the staff said "gym" and "pool" first, but Karim's answer was "swimming". Notice it's swimming, not pool, because the gap asks for an activity. And in 2, off-peak has a hyphen and counts as one word.

Notes in Part 4

Note completion in Part 4 works the same way, but faster. The notes often have headings. Use them as big anchors. When the speaker says "Now, let's turn to the second factor...", look at your second heading.

Try it yourself

Write ONE WORD ONLY.

Library card: bring proof of __________.

"To get a card, you just need to show something with your address on it, like a bank letter. That's your proof of address."

Show the answers

address.

Honest note

This method feels slow at first. After five or six tests, it becomes automatic and takes just a few seconds.
